Here we will show you all the emails that Viral Loops can send to your participants

Outbound emails are a crucial part of any referral campaign. They act as the communication bridge between your brand and your participants, keeping them informed, motivated, and engaged throughout their journey.

In this guide, we will help you understand those emails better!

1. Why do you need Outbound Emails?

Driving Engagement

From the moment someone joins your campaign, outbound emails help guide them through what to do next. Whether it's a welcome email that introduces the referral program or a milestone email celebrating their progress, each message keeps participants actively involved and aware of the value of referring others.

Improving Referral Rates

Timely and well-crafted emails can significantly boost referral activity. By reminding participants of their referral link, showing how close they are to earning rewards, and encouraging sharing with easy-to-use buttons, these emails increase the chances of users taking action and inviting others.

Maintaining Campaign Momentum

Referral campaigns often run for weeks or months, and it’s easy for participants to lose interest over time. Outbound emails help maintain momentum by sending regular updates, recognizing achievements, and highlighting what's next—whether it's the next reward tier or a campaign deadline. These nudges keep the excitement alive and participants engaged over the long term.

2. Types of Outbound Emails in Viral Loops

Welcome Email

You can find this email in every template in Viral Loops under the Communication or Notification STEP. This is the first email that your participants receive when they join the campaign.

Successful referral email

This email is located in Milestone, Refer a Friend and Universal campaigns only, under the Communication or Notification STEP. This email would be sent to the users who successfully referred others to sign-up.

Organic Signup Welcome Email

This is only available in the Universal template. It's for participants who signed up for the referral program.

Referred User Welcome Email

This is only available in the Universal template as well. It's for participants who joined via an invitation.

Now, you are probably thinking about the difference between the Welcome email, the Organic Signup Welcome Email, and the Referred User Welcome Email, correct?

Don't worry, 😊 we will clarify that for you in the next section!

Welcome email vs Organic Welcome & Referred User emails

Now, let's say that you don't want to send to all of your participants the same Welcome email.

Maybe, you want to send different emails depending on how someone joined your referral campaign. Participants who joined on their own (organically) may receive a different email than those who joined through an invitation from another participant.

A quick example of the difference:

  1. Maria participates in your campaign without any invitation; She just found it on the internet somehow.-> She received the Organic Signup Welcome Email.

  2. Maria invites her friend Max to your campaign

  3. Max participates in your campaign through Maria's invitation -> Max receives the Referred User Welcome Email.

Keep in mind that you can not TURN ON all 3 Welcome emails in the Universal template.

In all cases, you can leave ON the Successful referral email at the bottom if you wish!

Milestone Emails

These emails are available in Milestone, Newsletter Referral and Universal templates under the Milestones STEP.

You can set them up from here:

Booster Emails

Booster emails can motivate participants in your "Tempting Giveaway," "Startup Pre-launch," and "Leaderboard Giveaway" campaigns to continue sharing their unique referral links with friends.

This increases their chances of winning prizes, gaining early access to your product, and maximizing other campaign benefits.


All those emails are, of course, editable 😊 and you can also test them on your own!

3. Set up a Custom Outbound Email Address

The emails sent from your Viral Loops campaigns are normally sent from hello@viral-loops.com. However, you might want to use your own email domain to send these messages and now you can!
